The PAY DEADLINES Tab
The Tours module contains a Pay Deadlines tab, where you can manage the deposit dates, deposit amounts, cancellation penalty dates, and cancellation amounts. If the tour is published to TourTools Online, this information is pushed out to your website and displayed when a traveler or group leader books the tour. You have the ability to turn on/off the visibility of various items (e.g. penalties, deposit dates) using the TTO Options Tab above.

There is a dedicated TourTools Online tab that allows users to manage & publish information related to the Tour. On this tab, you will find 6 sub-tabs as described below.

The TOUR INFORMATION Tab
This tab allows you to manage information to be displayed on the TTO tour details page – if you create and manage these tour detail pages on your own website, the TTO generated Tour Details page can be bypassed by checking the “Skip Tour Details” box on the TTO Options tab. This tab allows you to add a tour description, a tour image, and special features of the tour.

The DOCS FOR DOWNLOAD Tab
You can attach catalogs, brochures, waivers, etc. using this tab. Users will be presented with the option to download them from the Tour Details page.

The INSTRUCTIONS & CONFIRMATION TEXT Tab
This tab allows you to control the verbiage that displays above the Booking Notes section during the booking process; add details about what kind of information you want them to provide in this field. You can also add specific text you’d like to be inserted at the top of the invoice and in the booking confirmation email.

The GROUPS Tab
This tab allows you to set up Web Codes to use for private tours and/or to segregate bookings for a tour that has multiple group leaders.

The PUBLISHING Tab
This tab controls how tours are displayed on the website.

Publish Tour to Website
You can determine whether a tour is available publicly or not. Checking this box will make that Tour visible on the site and available for booking.

Publish Packages to Website
You may have one or more internal packages that you do not want displayed on the website (e.g. Driver’s Package, Staff Packages). Packages can also be removed if sold out or running low on availability.

The TOURTOOLS ONLINE OPTIONS Tab
This tab allows tour-specific features/options to be managed and instantly implemented on the web in TourTools Online. The default setting is specified in parentheses; the defaults can be changed by request. Hover over any item to see additional details (also spelled out below)

PAYMENT Options

Allow Booking without Payment: Allows bookings confirmed with no payment
Allow Payments on WL Bookings: Allows payments to be made on waitlisted bookings
Show “Other” Payment Amount Option: Shows ‘Other’ as an option; minimum due enforced – can pay any amount equal to or greater than the minimum
Allow Any Payment Amount – No Minimum: Minimum payment not enforced, user can pay any amount
Allow/Show American Express: Will show the AMEX icon and allow AMEX payments if your payment gateway allows it
Enable Discount Codes in TTO: Enables the discount codes functionality that is managed in Business Settings > System Modules

TOURS Options

Skip View Tour Details: If you maintain tour detail pages on your own website, this will skip those created by TourTools and send visitors directly into the booking workflow

INSURANCE Options

TourTools offers 3 ways to manage insurance: INS Packages, Policy Tables, or via our Trip Mate integration.

Enable Package/Policy Based Insurance: Use INS type packages or policies driven by tables managed in Business Settings; must be OFF to use Trip Mate insurance in Tour Tools
>>Use Policy Based Insurance: Use policies driven by tables managed in Business Settings instead of INS Packages; must be OFF to use Trip Mate insurance in Tour Tools
>>Include Insurance Premium in 1st Deposit: Include the insurance premium amount as part of the minimum due for 1st deposit; must be OFF to use Trip Mate insurance in Tour Tools
Enable TripMate Insurance: Enable Trip Mate insurance in Tour Tools; all other options under INSURANCE must be unchecked

BOOKINGS Options

Enable Multiple Passenger Bookings: Enable feature that accepts multiple passenger bookings (MPB); these MPB bookings will appear in the back office as a GL booking
Set First Pax Name to User/Login Name: Sets the first passenger name in the booking to the name of the logged-in user to alleviate redundant entry
Allow Waitlisted Bookings: Allows waitlist bookings to be made when inventory is depleted
Show DOB Questions: Show questions relating to the date of birth
Show Gender Questions: Show questions relating to gender
Hide Roommate Field: Hide the ‘Roommate’ field
Hide Allergy & Diet Restrictions Fields: Hide fields related to diet restrictions and allergies

ONLINE USERS – “MY ACCOUNT” Options

Show Past Bookings: Show bookings for past tours
Show Cxld Bookings: Show cancelled bookings

INVOICES Options

Show Packages: Show package details on the invoice
Show Optional Packages: Show optional package details on the invoice
Show Penalties: Show penalties and penalty date details on the invoice
Show Airfare: Show airfare on the invoice
Show Package/Policy Insurance: Show insurance details on the invoice; this is for package and policy-based insurance only
Show Total: Show total on the invoice
Show Payments: Show payment records on the invoice
Show Discounts: Show discounts on the invoice
Show Balance Due: Show balance due on the invoice
Show Balance Due Date: Show balance due date on the invoice
