Automated emails and tasks are visible in the Tour Details layout under Tasks/Docs/ATEM and then under the Email & Task Automation tab.

There you will see a list of Tour Automations. If you click on the title of an Automation, you will see a preview of the Automation and can enter Automation Notes. You can also:

  • Block an Automation at the Tour level
  • Manually Send an email to all tour participants meeting the criteria of the Automation Template or immediately create the task.
  • Reset an automation that was previously run manually or before a date-change, so that if the timeframe and filter criteria match again, the Automation will run again.

Note: Automation Templates based on Tours can be created without setting the timeframe which creates either:

  • an email template that can be sent out to all tour PAX manually whenever required or
  • a task that can be deployed to specified staff manually as required

These emails and tasks are deployed by clicking the Create/Send Now button

Under the Tab Tasks/Docs/ATEM then Email & Tasks Automation, there will be a list of the Automations for the specified tour.

Automated Email / Task Title

Title created in the Email and Task Automation Templates. Clicking on the title will open a preview of the email or task.

Processing Date(s)

The dates that the Automation will currently run (will change if reference dates change or are added)

Date(s) Processed

List of dates that the automation sent out emails or created tasks for the specified tour

Block

Automations can be blocked here for the specified tour

Reset

Resets the Date(s) Processed. Automation is reactivated and will be checked daily again.

Create / Send Now

When clicked will send email manually immediately, bypassing the days before/after Tour criteria. Tasks will be created immediately, bypassing the Fudge Factor.

Note: Emails will only be sent when the Days Before/After criteria are Tour based, not PAX based. (eg: ‘Before tour depart date’ will send, but ‘After last payment due date’ will not)

Gear Icon (settings)

If the user has sufficient access privileges, this button will open a new window showing Business settings / Email & Task Automation Tab for quick access to Automations.
